Background

Seaton & Colyton is a two-site practice in Devon, providing a full range of primary care services to around 9,000 patients. Practice Manager Juliet started in July 2023 as a “complete newbie”.

Until last year, the practice used a paper system to calculate and record annual leave, TOIL and absence management. Believing that transparency is key, Juliet wanted everyone to be able to access their leave.

Now, the team are fully aware of their own annual leave entitlements, how they’re calculated and what their absence levels are. The absences are recorded with the option of the Bradford score being used, and Juliet feels all of this has contributed to lower levels of absence.

Juliet looks forward to utilising Practice Index completely in the future, instead of having to log on to numerous systems to perform her day-to-day tasks.

What we use the HUB for

PPA Manager: My prescribing team love it. Although we’re only able go back six years, there are still several thousand pounds that we’re able to recover in missed claims.

Benchmarking Manager: This is useful as we can see where we are compared with other practices in our PCN in terms of performance.

Holiday Manager: This has transformed my life! Last year, I lost two whole days working out bank holiday entitlement. When I started using Holiday Manager, I just entered the figures, put the staff in, and it magically produced the answers. The staff got to grips with it very quickly. The previous system used to record absence was really clunky. It also relied on one person keeping a paper record, so staff members were applying for and taking leave, but it wasn’t coming off their total.

Learning Package: We haven’t been using this for long, but the courses look really interesting and I trust the content.
