Background

Ayton & Snainton Medical Practice is a group of surgeries looking after the villages of West Ayton, Snainton, Seamer and Thornton le Dale. With over 9,000 patients, they have a clinical team of seven GPs, four Nurses and three HCAs who work alongside other Healthcare Practitioners and Pharmacists. Behind the scenes, Practice Manager Pam Saltmer leads an admin team consisting of an Operations Manager, a Patient Services Manager, two Secretaries, six Receptionists, four Telephone/Appointment Clerks, and two General Practice Assistants, as well as a Care Coordinator and a Prescription Clerk. They’re also home to a full dispensary team.

Before the HUB, the practice used spreadsheets for everything; they had their own system until Internet Explorer was retired. It was clunky and hard to keep up to date. The staff are still new to the HUB, but they’re quickly getting used to it. They decided to roll out Holiday Manager immediately so everybody needed to be able to use it. Since then they have introduced the extra aspects and are looking to implement even more in the months ahead.

What we use the HUB for

We started with Holiday Manager and it’s really easy to use. I’ve since moved all of our policies over and we’ve also subscribed to the Compliance Package.

The Library allows me to share things like meeting minutes with staff, so everybody knows this is the most up-to-date information.

The Compliance Package gives me direction with my CQC work, which I love. Using safety alerts is a much more compliant way of doing things, rather than receiving an email or tracking who has got the email. We receive the alert, add the date acknowledged, assess it and go from there – and it’s all on the system for anybody to check at any time.

We started putting significant events and compliments on the system as well, and I’ve included risks too.

We’re not using PPA but it works really well for all the practices I’ve spoken to who do use it; they’ve made more income from it so I think we might be joining them soon!
